Demox Workplace Policy

Our workplace policy for responsible remote work.

This policy explains how Demox approaches professional conduct, remote work, communication, information security, confidentiality, and responsible collaboration.

Last updated:

This policy provides general workplace guidance and may be updated as the company grows. Role-specific agreements and applicable local laws take precedence where required.

Professional conduct

Team members are expected to:

  • Act professionally and honestly.
  • Treat colleagues, clients, contractors, and partners with respect.
  • Avoid harassment, discrimination, intimidation, or abusive conduct.
  • Communicate disagreements constructively.
  • Protect the reputation and interests of the company and its clients.
  • Disclose conflicts of interest.

Remote-first workplace

  • Demox Solutions currently operates as a remote-first company.
  • Team members may work from an appropriate location with reliable internet and a professional working environment.
  • Remote work requires responsiveness, accountability, secure practices, and dependable delivery.
  • Remote-first does not mean working without coordination or agreed availability.
  • Occasional in-person meetings may be arranged when useful and practical.

Working hours and availability

  • Working schedules may vary by role, location, project, and agreement.
  • Team members should maintain agreed collaboration hours.
  • Planned absences should be communicated early.
  • Urgent blockers or missed commitments should be raised as soon as possible.
  • Personal time outside agreed availability should be respected.

Communication

  • Use the agreed company channels for work communication.
  • Keep project decisions documented.
  • Communicate clearly and concisely.
  • Escalate risks early.
  • Avoid unnecessary meetings.
  • Do not rely on private or disappearing messages for important project decisions.

Performance and accountability

  • Performance is based on quality, reliability, communication, responsibility, and results.
  • Being visibly online is not a substitute for progress.
  • Team members are expected to own commitments and communicate before deadlines are at risk.
  • Feedback should be direct, respectful, and actionable.

Information security and confidentiality

  • Protect client, employee, and company information.
  • Use strong passwords and multi-factor authentication where available.
  • Do not share credentials.
  • Keep devices updated and secured.
  • Use approved storage, repositories, and communication tools.
  • Do not upload confidential information to unapproved AI tools or third-party services.
  • Report suspected security incidents immediately.
  • Confidentiality continues after a project or working relationship ends where applicable.

Intellectual property

  • Work created for the company or its clients must be handled according to the applicable project, contractor, or employment agreement.
  • Team members must not reuse proprietary client code, data, designs, credentials, or documentation without authorisation.
  • Open-source software must be used in compliance with its license.

Responsible use of AI

  • AI tools may support research, drafting, coding, testing, and analysis when appropriate.
  • AI output must be reviewed by a responsible person.
  • Confidential or personal data must not be entered into unapproved AI services.
  • AI-generated code and content must be checked for correctness, security, licensing, bias, and suitability.
  • AI must not be used to misrepresent authorship, fabricate evidence, or avoid accountability.

Client relationships

  • Be honest about scope, progress, limitations, and risks.
  • Do not promise work, deadlines, pricing, or capabilities without authorisation.
  • Treat client systems and data with care.
  • Document important approvals and decisions.
  • Focus on long-term trust rather than short-term appearances.

Work-life balance

  • Demox Solutions believes sustainable work produces better results than burnout.
  • Team members should plan realistically, communicate workload concerns early, and respect personal time.
  • Periods of increased effort may occasionally be required, but chronic overwork should not be treated as normal.

Equal opportunity and respect

  • Demox Solutions aims to provide a respectful workplace.
  • Candidates are considered on role-relevant qualifications, skills, and potential, subject to applicable laws and practical hiring requirements.
